Privacy Policy of EASY EMAIL VERIFICATION LTDA

1. Who we are

The Easy Email Verification services — the website, the dashboard, the API, the MCP server for AI assistants, the Google Workspace and Google Sheets add-ons and the integrations (the “Services”) — are provided by EASY EMAIL VERIFICATION LTDA, CNPJ 60.422.884/0001-02, Av. Almirante Tamandaré, 94, Sala 610 – Coqueiros, Florianópolis – SC, 88080-160, Brazil (“Easy Email Verification”, “we”). This policy explains how we process personal data, in accordance with Law No. 13,709/2018 (Lei Geral de Proteção de Dados – LGPD) and, where applicable, other data protection laws.

2. Data we process and why

  • Account data (name, email address and credentials): to create and manage your account and provide the Services. Legal basis: performance of a contract (LGPD, art. 7, V).
  • Billing data: payments are processed by Stripe. We see the status of invoices and payments, and we do not store your full payment card data. Legal bases: performance of a contract and compliance with legal obligations (LGPD, art. 7, V and II).
  • Email addresses and lists you submit for verification: processed only to perform the verification you request. For this data, you are the controller and we act as processor (operador) on your behalf.
  • Access logs (IP address, date and time of access): kept because article 15 of Law No. 12,965/2014 (Marco Civil da Internet) requires it. Legal basis: compliance with a legal obligation (LGPD, art. 7, II).
  • Messages you send us (for example, support requests): to answer them. Legal basis: legitimate interest (LGPD, art. 7, IX).
  • AI assistant connections (ChatGPT, Claude and other MCP clients): see section 6.
  • Cookies and similar technologies: see section 7.

We do not intend to collect sensitive personal data (such as racial or ethnic origin, religious or political opinions, health or sexual life).

The verification of email addresses is fully automated; there is no human review of the addresses you submit.

3. How long we keep data

  • Email addresses verified one at a time, in the online email checker or through the API, are not retained after the verification is processed.
  • Results of bulk list verification are kept for 30 days so you can download them, and are then permanently deleted.
  • Account data is kept while your account is active. You can ask us to delete it; data that we must keep by law is retained only for the period the law requires.
  • Access logs are kept for 6 months, as required by article 15 of the Marco Civil da Internet.
  • Billing data is kept for the periods required by tax and accounting legislation.

4. Who we share data with

We do not sell personal data. We share personal data only:

  • with service providers that we need to operate the Services, such as our payment processor (Stripe) and the providers of the tools listed in section 7, which process data on our behalf;
  • with third-party platforms that you choose to connect to the Services (for example, CRMs or Zapier), according to your instructions and their own terms;
  • when required by law, regulation, court order or request from a competent authority, or to exercise our rights in legal proceedings.

Domain reports on the website query public DNS resolvers (including Google Public DNS) with the domain name being checked.

Some of these providers may process data outside Brazil. In these cases, the international transfer follows the mechanisms allowed by article 33 of the LGPD.

5. Google Workspace and Google Sheets add-ons

The Easy Email Verification add-on for Google Workspace (Gmail) uses the following Google scopes:

  • https://www.googleapis.com/auth/userinfo.email — to get the user's email address;
  • https://www.googleapis.com/auth/gmail.addons.execute — to run as an add-on;
  • https://www.googleapis.com/auth/script.locale — to get the user's language and interact in it;
  • https://www.googleapis.com/auth/script.external_request — to fetch configuration information and the result of a specific query.

The Easy Email Verification add-on for Google Sheets uses the following Google scopes:

  • https://www.googleapis.com/auth/userinfo.email — to get the user's email address;
  • https://www.googleapis.com/auth/spreadsheets — to insert the verification results into the spreadsheet;
  • https://www.googleapis.com/auth/script.container.ui — to open the add-on in a Google Sheets sidebar;
  • https://www.googleapis.com/auth/script.external_request — to fetch configuration information and the result of a specific query.

These scopes are needed for the add-ons to work: the user's email address is required to associate a query with the user's account. More information about Google APIs is available at https://developers.google.com/gmail/api.

6. AI assistants and MCP integrations

You can connect AI assistants, such as ChatGPT, Claude and other clients that support the Model Context Protocol (MCP), to your Easy Email Verification account through our MCP server (mcp.easyemailverification.com). When you do:

  • What we receive: only what the assistant sends to run a tool you asked for — the email addresses to verify, the addresses of a bulk list, or a bulk job identifier — and the authorization that identifies your account. We do not receive or store your conversations, prompts, files or any other content from the assistant.
  • What we return: the verification results, your credit balance, and the status and a summary (totals and at most 50 example rows) of bulk jobs. This information is then processed by the AI provider under its own terms and privacy policy.
  • Purpose and retention: the data is used only to perform the verification you requested, and is retained as described in section 3. Verifications use credits in the same way as in the dashboard and the API.
  • Sign-in (OAuth): when you connect with your Easy Email Verification account, you approve the access on a consent screen, and we create an API key for that app. We store the connection (app name, the permissions you granted and the date) and keep access tokens in hashed form only. We do not receive your password for the AI assistant, and the assistant never receives your Easy Email Verification password.
  • Logs: the MCP server logs technical data for security and troubleshooting (tool name, result status, response time, a request identifier and a short prefix of the API key). It does not log the email addresses you verify.
  • Your controls: you can disconnect an assistant at any time in the assistant's own settings, or in the dashboard under Connected apps (or by deleting the app's key in API settings), which immediately revokes its access.

7. Cookies and similar technologies

The website uses:

  • Necessary storage: your cookie banner choice is saved in your browser's local storage.
  • Analytics and advertising: Google Tag Manager and Google Ads (Google), Zoho PageSense and ActiveCampaign site tracking, which may set cookies to measure visits and campaigns.
  • Affiliate program: Rewardful and the eev_referral cookie (kept for 90 days) record when you arrive through an affiliate link, so the referral can be attributed.

You can block or delete cookies in your browser settings; some features may not work as expected.

8. Your rights

Under article 18 of the LGPD, you can request from us:

  • confirmation that we process your data, and access to it;
  • correction of incomplete, inaccurate or outdated data;
  • anonymization, blocking or deletion of unnecessary or excessive data, or data processed in breach of the LGPD;
  • portability of your data to another provider;
  • deletion of data processed based on your consent;
  • information about the entities with which we share your data;
  • information about the possibility of not giving consent and its consequences;
  • revocation of consent.

You can also file a complaint with the Brazilian National Data Protection Authority (ANPD). If other data protection laws apply to you, you may have equivalent rights under them.

To exercise your rights, write to dpo@easyemailverification.com. If your email address is part of a list that one of our customers submitted for verification, that customer is the controller of your data; please contact them, and we will assist them in answering your request.

9. Security

We adopt technical and administrative security measures intended to protect personal data against unauthorized access and accidental or unlawful destruction, loss, alteration, communication or disclosure (LGPD, art. 46). No system is completely secure, so we cannot guarantee absolute security.

10. Changes to this policy

We may update this policy. The “Last revised” date above shows the latest version, and material changes will be communicated on the website or by email to registered users.
